DATA PROTECTION POLICY OF HOTEL MOTTO
The protection of our guest contacts is very important to us.
Duty to provide information (Art 13 and 14 GDPR)
 

Basis:
This Data Policy applies to all persons who use the services of Hotel Motto Betriebs GesmbH, Bruno-Kreisky-Platz 1, 1220 Vienna (location: Mariahilfer Straße 71a, A-1060 Vienna), entered in the commercial register of the Vienna Commercial Court under FN 229139 w (hereinafter referred to as “Hotel Motto”).
This Policy provides information about the type, scope and purpose of the collection and use of your personal data by our company. The protection of your personal data is very important to us. We strive to strictly comply with the legal requirements for the processing of your personal data (EU Regulation No. 679/2016, the Swiss Data Protection Act (DSG 2000, DSG 2018) and the Swiss Telecommunications Act (TKG 2003)). All of your personal data will be processed on this basis.
The hotel in which you use our services is responsible for data processing. 
By using our services and giving your consent in the sense of this declaration, you confirm that you are aged 14 or over and are able to give permissible consent, or that effective consent from your legal guardian or guardian has already been obtained.

Information in accordance with Art. 13 GDPR

  • Your personal data, in particular:
  • Your basic data (family name, first name, address, e-mail address, telephone number, date of birth) and language,
  • The data in travel documents (passport number, passport data, issuing authority, duration, nationality),
  • Payment method data and data in connection with payments, in particular EC cards, credit cards and bank cards,
  • Alternative billing address of the guest and, if booking a third person, also this person’s first name, last name, mobile phone number and e-mail address,
  • The length of stay you have requested, contact persons, license plate number, conditions, special services, health data and personal preferences you tell us,
  • As well as data regarding special needs and marriage/a partnership,


is required for our services. This also includes bookings for sightseeing tours, tourist guides, restaurants, rental vehicles, transfers, vouchers including the customer system, billing and its verification (B2B, B2C, FIT) and ticket bookings.

This data is therefore stored, processed by us and, if necessary, passed on to third parties with whom we work to provide the most effective and best possible service for our customers. This may also include service providers in third countries operating as contract processors, software or agency service providers.
Your personal data will only be passed on or disclosed to fulfil your contract. The passing on or disclosure of this data takes place in compliance with all data protection and data security-related aspects. Corresponding data protection agreements have been concluded with our service providers.
The legal basis for these data processing processes is the fulfillment of our pre-contractual and contractual obligations to you, the consent obtained from you, statutory, contractual and other legal obligations on our part (e.g. documentation rights and obligations under accounting, tax and customs law, contracts, reporting, legal disputes) as well as Section 96 TKG and our legitimate interests (e.g. improving our customer services, including in the area of direct mail and safeguarding our own legal interests).
The duration of the data storage is based on the duration of our business relationship, the consent you have given and the statutory retention requirements and legal obligations which apply to us. We would like to emphasise that in the case of regular cooperation for our best possible customer service, we endeavour to consider any previous customer requests you have sent to us in order to provide you with continuous and ongoing excellent services.
In the case of services paid for through the hotel, you will receive an automatically generated invoice on the day of your departure by e-mail, which will be sent using the e-mail address you have provided.


Our website
Your access data is automatically collected and saved when you visit our website. This access data can in particular include the accessed webpage, the files viewed, the date and time of access, the IP address of the user, data from the accessing computer, in particular the browser and operating system, and the amount of data and notification of successful access. This access data is used by us for internal statistical purposes in order to guarantee the security of our services and optimise our services. If illegal activity is suspected, the access data will be evaluated to preserve evidence.
By entering your personal data in one of our contact forms, you consent to the transmission, storage and processing of this specific request for the duration of this request. We need this data to process your request and in these cases also save your IP address for the purpose of preserving evidence. Data is stored for as long as necessary for the support of any additional or subsequent questions by you or us.

Online room reservation
Rooms can be booked on our website. All booking data which you enter will be transmitted in encrypted form. The data will not be passed on to third parties in this context. The data will only be used to process the booking and for communication.
Hotel Motto’s “ONEApp”
If you stay in our hotel, you have the option of installing an app for mobile check-in, to obtain a mobile key and to access information about the hotel and Vienna. This is operated by our provider (at-visions GmbH, Gewerbepark 11, 7412 Wolfau, Austria). The company has committed itself to handling of your transmitted data in line with data protection requirements. It takes all organisational and technical measures required to protect your data.


Cookies
We use cookies, which are small text elements used to store information in web browsers. Cookies are recognised the next time you visit our website and make a significant contribution to accelerating loading processes and making our content more convenient for you to use. Your information is identified and saved by cookies and is used to recognise you and analyse your user behaviour. They are stored on the server of the respective provider who, as a processor, has committed to complying with the applicable data protection standards.
After you have visited our website, cookies will remain stored on your device unless you reject this from the outset or actively delete cookies. The active deactivation of cookies may impair the functionality of our website for you. You can also prevent the storage of cookies by setting your browser software accordingly. Third-party content

Google Analytics
We use Google Analytics, a web analysis service of Google Inc. 1600, Amphitheatre Parkway, Mountain View, CA 94043, USA (“Google”). Google Analytics uses cookies. The information generated by the cookie about your user behaviour is usually transferred to a Google server in the USA and stored there. Your IP address will be shortened beforehand within the European Union and is thus anonymised or at least pseudonymised. Only in exceptional cases is the full IP address transmitted to a Google server in the USA and shortened there.
Google uses this information to evaluate your use of the website, compile reports on website activity and provide the website operator with other services relating to website activity and internet usage. The IP address transferred by your browser to Google Analytics is not merged with any other Google data. Facebook and Instagram plug-ins:
We use Facebook social plug-ins provided by the social network Facebook, operated by Facebook Ireland Limited, 4 Grand Canal Square Dublin 2, Ireland, and Facebook Inc., 1601 S. California Avenue, Palo Alto, CA 94303, USA. These plug-ins are buttons which Facebook uses to measure who visits our website. If the visitor is registered as a user on Facebook and is logged in at the same time, further information is also stored by Facebook. Facebook receives your IP address for technical reasons. We have no influence on the use of this data by Facebook. We use the social media network Instagram, operated by Instagram LLC, 1601 Willow Rd, Menlo Park CA 94025, USA. We can display pictures and videos by using the functions for embedding Instagram content (embed function). When these functions are used, data (IP address, browser data, date, time, cookies) is transferred to and stored and evaluated by Instagram. If you have an Instagram account and are logged in, this data will be linked to your personal account and the data stored in your account. Newsletter
You have the option of subscribing to a newsletter on our website in order to receive information about offers and news from the Hotel Motto. We need your e-mail address and your declaration that you agree to receive the newsletter for this purpose.
You can cancel your subscription to the newsletter at any time free of charge. Please send your cancellation to the following email address: hello@hotelmotto.at. Alternatively, you can also unsubscribe free of charge from the most recent newsletter. We will then immediately erase your data in connection with the distribution of the newsletter.


Applicant management
We process the personal data of applicants, which we need for the purpose of organising the application process. The data is processed electronically if, for example, we have received your documents by e-mail. If no contract is concluded with the applicant, the application documents will be erased no later than 12 months after the decision, provided that the erasure does not conflict with any other legitimate interests on our part.


Other
We have implemented organisational and technical protective measures, which we continuously evaluate and adjust if necessary, in order to protect your personal data which we store and process.

Your rights
You can request information about your personal data stored by us at any time free of charge. As a data subject, you also have the right to the revocation, erasure, rectification, restriction and transfer of and information about your personal data, as long as there is no statutory retention obligation on our part.
